A good hotel cannot rescue a broken arrival, and a polished chauffeur cannot compensate for the wrong room. The best France trips work as one connected journey: the flight is monitored, the airport handoff is clear, luggage fits the vehicle, the hotel knows who is coming and every change reaches the next person before the guest does.

The trip is a chain of handoffs

Arrival contains at least five separate moments: aircraft to terminal, terminal to baggage reclaim, customs to greeter, greeter to vehicle, and vehicle to hotel. Each can belong to a different company. Problems happen in the gaps: a driver receives the scheduled landing rather than the actual exit, the greeting point is vague, the vehicle fits people but not suitcases, or reception expects a lead guest who is in another car.

A connected plan assigns an owner, trigger and backup to every handoff. The guest should not have to discover which supplier is responsible while standing in arrivals.

Start with accurate flight and passenger data

Use the operating airline and flight number, not only the marketing codeshare. Record terminal, scheduled time, live status, passenger mobile, language, mobility assistance, number of checked bags, oversize items, child seats and whether the group will clear immigration together.

Landing time is not pickup time. Taxiing, passport control, bags and customs can turn one flight into several exit times. Meet & Greet needs a precise scope

“Meet & Greet” can mean very different services: a landside name board, assistance from an authorised point inside the terminal, escort through formalities where permitted, baggage support coordination, lounge guidance or a hosted connection. Security and border processes remain under the competent authorities; no concierge should promise to bypass them.

Confirm the meeting point, whether the agent is airside or landside, sign name, contact method, language, covered terminal path, mobility or porter interface and what happens after a missed connection. The greeter and driver may be separate people. They must exchange the live exit status.

Choose the vehicle from the luggage backwards

A vehicle advertised for six passengers may not carry six people plus long-haul luggage. List checked cases, cabin bags, strollers, wheelchairs, garment bags, golf equipment and shopping returns. Decide whether comfort requires a larger vehicle or a separate luggage van.

French consumer guidance confirms that a VTC must be reserved in advance rather than hailed at an airport taxi rank. The booking confirmation should identify the pickup and vehicle; travellers should verify the car and driver before boarding. The hotel must prepare before the car arrives

Send the property a concise arrival notice: names as on reservations, estimated door time, vehicle count, children, accessible needs, VIP or security notes, room allocation, payment authority and luggage plan. If rooms are not ready, decide in advance whether bags go to storage, a hospitality room, a restaurant, an excursion or an extra protected night.

Accessibility must pass through every supplier

An accessible room alone is not an accessible journey. The aircraft assistance request, terminal support, vehicle transfer, hotel entrance, lift and bathroom must all fit the traveller. Measure mobility devices, specify transfer ability, seating and companion needs, and reconfirm equipment.

One manifest, one source of truth

Create a live movement sheet containing passenger, flight or train, confirmation numbers, greeter, driver, vehicle, meeting point, luggage, hotel, room status, contact numbers and escalation owner. Version it. A screenshot in one chat is not enough when an airline changes terminal or a guest switches flight.

For delegations, number cars and assign passengers before landing. Keep VIP, security, luggage and protocol roles distinct. For families, put child seats and the children’s essentials in the correct vehicle. For a couple, the same discipline can be invisible, which is precisely why the arrival feels effortless.

Design the departure at the same time

The outbound journey is not a reverse copy. Add hotel checkout, tax or incidentals, baggage collection, breakfast, traffic, terminal and airline check-in requirements, security and any tax-refund process. Confirm which terminal the operating flight uses on the day.

Build a wake-up and lobby time, not just a vehicle time. If several rooms leave together, settle accounts earlier. A separate luggage pickup can reduce lobby congestion, but chain of custody, insurance, sealing and delivery time must be verified with the provider.

What happens when the plan changes?

Define thresholds: when does a delayed flight move the pickup, when does a no-show trigger a call, who can add waiting time, and when is a backup vehicle released? Share the decision with airport host, transport dispatcher and hotel. A recovery plan is part of the product, not an improvised favour.
