Four days at an international exhibition can begin a long business relationship, or end with a phone full of contacts and no next step. Much depends on decisions made before arrival: the meetings worth protecting, the hotel that fits the schedule and the transport that supports it. ADIPEC is a useful test of that discipline.
The confirmed dates and the first booking
The official ADIPEC website places the 2026 event on 2–5 November in Abu Dhabi. Before committing flights, identify the registration category appropriate to the purpose of the visit. Exhibition access, conference participation and other arrangements should not be treated as interchangeable.
Give each day a clear objective: potential partners, suppliers, technical learning or existing clients. Separate confirmed meetings from requests and unanswered invitations. If one appointment justifies the journey, confirm it before making the rest of the trip difficult to change.
Choose the hotel against the whole itinerary
A delegate spending most of the day at the exhibition may prioritise an efficient morning journey and a quiet place to work. A team with off-site meetings and evening invitations should compare the hotel with all its addresses, not the venue alone.
Request a written total showing taxes, meals, cancellation terms and arrival and departure conditions. For a delegation, check room access against the flight schedule, luggage storage and any meeting-room requirement. This guide does not claim live room availability or quote unverified event-week rates.
Airport arrival without ambiguous promises
Provide the flight number, expected arrival, passenger count, luggage requirements and a working contact method. Ask for a precise meeting location after arrival formalities, and establish how flight changes or delayed bags are handled. A professional welcome makes recognition simple for both parties.
If a separate airport assistance product is offered, ask who supplies it and what it includes. A car reservation does not automatically provide restricted-area access, aircraft-door reception or priority through official procedures. Each element needs its own confirmation and terms.
Shuttle, taxi or private chauffeur?
ADIPEC’s travel information includes complimentary shuttle services from selected hotels. Consult the official timetable for the actual hotel and departure rather than assuming every property or meeting time is covered.
A taxi can work well for a direct journey. A reserved chauffeur may suit a delegation with changing appointments, equipment or samples. Compare the total price, waiting arrangements, meeting points and extra hours. Private transport should not be sold as a way to bypass shared traffic or venue access controls.
Make meetings easier to turn into work
Send a short company introduction and proposed discussion before the appointment. Limit the number of meetings to what can be delivered and allow time for movement within the site. Keep essential contacts accessible beyond a single application in case connectivity becomes inconvenient.
Close each conversation with an identifiable next action: a document, technical call, initial proposal or follow-up meeting. Record who owns it and when it is expected. The value of the trip lies less in the number of cards collected than in the work that can continue after departure.
What remains useful after the event?
The event dates are specific, but the method is reusable: objective, correct registration, suitable accommodation, clear transport and an owner for follow-up. In the post-event report, distinguish signed business from continuing discussions and prospects that have not yet been qualified.
If adding a private day in Abu Dhabi, separate it from corporate commitments and confirm activities with their operators. A well-managed visit protects the working programme while allowing the guest to experience the destination. It should never guarantee a commercial result that depends on future negotiations.
Practical questions before travelling
When is ADIPEC 2026?
The official dates are 2–5 November 2026.
Are all hotels served by the shuttle?
No. The organiser refers to selected hotels. Check the specific timetable.
Does a car booking include exhibition access?
Do not assume so. Event registration and transport are separate arrangements.
For a private itinerary, arrival or transfer, ask OUISTARS about available services and their terms before confirming a booking.
