Bringing a group to Paris changes the hotel question. You are no longer choosing rooms one by one; you are designing an operating base for people, luggage, payments, coaches and changing plans. The right contract and location can make the group feel effortless. The wrong one creates a daily queue.

Define the group before requesting hotels

Central is not always efficient. A hotel beside Palais des Congrès can outperform the 1st arrondissement for an event at Porte Maillot. Inventory is more than a room count

Ask how many rooms of each category the hotel can contract on the same dates, and whether those rooms sit in one building, wing or floor. Confirm real twins rather than assuming a sofa bed or split double. Check triples, connecting doors, lift access, walk-in showers and the distance from accessible rooms to breakfast and meeting areas.

Paris je t’aime’s current Convention Bureau separates lifestyle hotels of roughly 100 to 300 rooms from conference hotels with 300 rooms or more. Size is useful but not decisive. A 120-room hotel can be excellent for a 25-room group if it has the right staffing and coach access; a huge hotel can still scatter categories.

The contract is where the booking headache is prevented

Compare the same fields across proposals: dates, room types, taxes, breakfast, Wi-Fi, porterage, meeting space, meal terms, deposits, payment schedule, cancellation curve, attrition, complimentary rooms if offered, name-change rules and rooming-list deadline. Do not assume terms from a previous year or another property.

Inventory, rates, concessions and cancellation conditions are dynamic. Obtain them in a written group agreement. Never describe a requested upgrade, free room or early check-in as guaranteed until the hotel confirms it.

Build one controlled rooming list

Use one version with unique guest IDs, exact passport-style names where required, arrival and departure dates, room type, sharer, dietary needs, accessibility requirements and billing code. Protect sensitive data and share only what suppliers need. Freeze versions at agreed milestones and keep a change log.

Arrival is a capacity test

Fifty guests arriving together need more than fifty room keys. Where can a coach stop? Who unloads luggage? Is there a secure holding room? Can keys be prepared by group or family? Will passports or deposits be handled at reception? What happens if rooms are not yet released?

Current official sources show why capacity must be read precisely. Paris je t’aime’s June 2026 conference-hotel guide lists properties of 300 rooms or more across central Paris, Porte de Versailles, Porte Maillot, La Défense, Disneyland Paris and CDG. Hyatt Regency Paris Étoile states that it is directly connected to Palais des Congrès and offers event spaces up to 1,816 square metres and 2,800 guests. These facts illustrate scale, not availability or suitability for every group.
