The Fédération de la Haute Couture et de la Mode coordinates four Paris Fashion Week editions each year, plus two Haute Couture Weeks. Its current official calendar places Womenswear Spring/Summer 2027 from 28 September to 6 October 2026, with the SPHERE showroom at Palais de Tokyo from 30 September to 6 October. Those dates create a citywide programme, not a single-venue convention.
Choose the hotel after plotting the calendar
Fashion Week venues can move season to season and invitations may reveal addresses late. Build a map from confirmed shows, showrooms, fittings, dinners and offices. Weight each by the number of trips, not by prestige. A hotel near one spectacular evening venue is less useful than a base that shortens six daily movements.
For a trade fair at Paris Nord Villepinte, a central palace may create a punishing commute. For Porte de Versailles, the 15th or a direct métro route may outperform the 8th. For Roland-Garros, western Paris can be rational. For Fashion Week, the 1st, 8th, 9th and 16th often work, but only after the live calendar is mapped.

Build buffers around the non-negotiable moment
Identify the appointment the trip cannot miss: runway call time, keynote, buyer meeting, match, gala or flight. Protect it with a hotel location, departure window and backup route. Do not schedule using average traffic alone. Add security screening, cloakrooms, accreditation queues, venue-to-car walking and the possibility that a driver cannot stop at the entrance.
Public transport can be faster and more predictable, but formal clothing, samples, children, mobility needs and confidential conversations may favour a vehicle. The robust plan can switch modes.
Room inventory becomes an operating system
A brand team rarely needs identical rooms. Talent may require privacy and a late departure; stylists need garment space; executives need quiet desks; assistants need proximity; security needs sight lines; drivers need practical rest. Define roles before assigning categories.
For groups, request a room block with a dated release schedule, deposit milestones, cancellation terms, name-list deadline and change authority. Confirm whether rooms are in one building or wing, how keys will be prepared, where luggage waits and who receives the master invoice. The lobby can save or lose an hour
During peak events, lobbies become meeting points, fitting rooms by accident and luggage exchanges under pressure. Inspect whether the hotel can handle vehicles at the door, garment bags, multiple keys, waiting guests, secure parcels and a discreet regrouping area. A beautiful intimate lobby may not suit a 40-person delegation.
Ask about early arrivals and late departures before committing. A promised request is not a confirmed room. If flights and hotel nights do not align, reserve the operational solution: an extra night, day room, hospitality suite or secure luggage plan, subject to supplier confirmation.
Cancellation terms matter more than the headline rate
Major events compress inventory, but no fixed rule applies to every hotel. Some dates carry minimum stays, stricter deposits or earlier cancellation penalties. Compare the total committed amount and the dates when money becomes non-refundable. One apparently lower rate can carry much greater risk if attendance, accreditation or guest names may change.
Never present a historical event rate as a current price. Request a dated proposal for the exact room types, taxes, breakfast, transfers, extras and cancellation schedule. Availability can change between inquiry and signature.
Transport needs its own command sheet
Create one live manifest containing passengers, mobile numbers, flight or train, hotel, appointment, driver, vehicle, luggage, call time and backup contact. Distinguish “car requested” from “car confirmed.” Identify legal stopping points and the walk from vehicle to venue. For multiple cars, number vehicles and place a coordinator at the busiest handoff.
A private chauffeur is valuable when continuity, privacy and material transport matter; it is not a magic exemption from congestion or closures. Event staff must monitor and re-sequence. Airport movements should be separated from show transport so a delayed flight does not consume a vehicle needed in town.
