Logistics and service guide · Paris and France
A guest can reach the most beautiful room in Paris already stressed because the car was lost, or leave early because no safe return exists. Transport is the first and last scene of the wedding. This turns luxury cars into an executable timeline.
Group
| Group | Service | Data needed |
| Couple | Rolls-Royce or chauffeured sedan | preparation, route, parking |
| Airport guests | meet-and-greet, car or van | flight and luggage |
| Family | van or several cars | hotels and names |
| Seniors | comfortable vehicle and assistance | mobility, chair, medication |
| Night return | scheduled waves | times and addresses |
Build the movement sheet first
For every person or group record flight/train, hotel, venue, return, phone and luggage. Only then size the fleet. An extra car without a schedule does not solve delay.
The couple and the dress
Test door width, seating, dress and bouquet space, climate, photo time and legal drop-off. A Rolls-Royce becomes a successful scene when driver, photographer and planner share one clock.

Airports and delayed flights
Connect the driver to the flight number, not only a fixed landing time. State terminal, name board, luggage and child seats. Keep WhatsApp and a second contact.
Seniors as an operational priority
Luxury does not automatically mean accessibility. Check seat height, wheelchair space, steps, walking distance and airport assistance.
After midnight
Create departure waves: seniors and families, guests, then team. Confirm final run, every hotel, waiting and overtime.

Landing time is not meeting time
A landing time does not mean a guest is outside the airport. Allow for arrival formalities, baggage and the walk to the meeting point. Establish when waiting charges begin, how the flight is tracked and who calls if the guest’s phone fails. Give the family one consistent meeting instruction.
Record suitcase numbers and approximate sizes, as well as children and requested seats. Passenger capacity is not luggage capacity. Compare the actual vehicle with the agreed service rather than relying on a luxury-car photograph.
One vehicle may not cover two departures
An organisational example: one party needs a hotel transfer while another must travel directly to the venue. If those trips overlap, a larger vehicle may not solve the problem. You may need two vehicles or a changed departure. Map each journey’s start, finish and stopping point.
For the return, group guests by destination and preferred departure time. Keep an early option for older people and children. Assign one contact to tell drivers about changes; a shared schedule reduces contradictory messages.
Test comfort before the guest arrives
For wheelchair users, distinguish carrying a folded chair from transporting a person seated in it. Explain the requirement and ask about the actual vehicle and assistance. For guests with limited walking ability, confirm the nearest permitted drop-off and distance to their seat with the venue.
Do not promise a fixed journey time across Paris. Ask the provider for a margin suited to the route and event date, and keep an alternative contact. If portraits form part of the couple’s journey, include that time explicitly instead of squeezing it between consecutive transfers.
What belongs in the booking confirmation
Service Public guidance requires advance booking for a VTC service. In the practical confirmation, specify the service, vehicle, passengers, luggage, meeting time and price scope. Ask about waiting, delay, additional hours and cancellation. A fixed-price airport transfer differs from a vehicle placed at your disposal for several hours.
Send the family one clear message with the meeting map and contact. Keep necessary journey details with the coordinator and relevant supplier rather than distributing everyone’s travel information in a public group. Hospitality includes getting the last guest back to their hotel.
